Location: Sheffield

Standard Hours of Work: 35 hours per week

Job Purpose

The job holder will be based at our Sheffield office reporting into the Head of Legal Practice. The Head of Department has responsibility for overseeing the effective management and operation of the Employment Department.

Scope of the Role

The jobholder will be responsible for the effective management and performance of the Employment Department which comprises the employment advice line, employment vetting, settlement agreements team and case workers.   The jobholder will also be responsible for general personnel management of staff at the following levels: – Managers, Fee Earners, Employment Vetters, Employment legal advice line.

The role also requires day to day management and oversight of the teams, caseloads, workloads, risk management, case and matter investigations, complaints and negligence allegations. The role also includes relationship management with Unions, legal officers, regions and other Union personnel as well as interaction with other law firms.  The job holder will work closely with the management team to design, deliver and implement system changes, workflows and process improvements.

Principal Accountabilities/Tasks

  • Operate at a strategic level with the management team to ensure we have the right systems and controls in place to deliver an excellent standard of service to our members and the Unions
  • Constantly review of the systems, controls and process to determine whether they are fit for purpose as our environment and service delivery requirements change
  • Including management controls, audit requirements, risk management, service levels compliance, employee training and development to name but a few
  • Carry out performance management/1-2-1s with senior employment personnel and to ensure that the existing performance management framework for the department is robust, monitored and embedded into the business
  • Ensure the systems and controls in place to carry out quality reviews in each team within the employment department are adhered to (vetting team, settlement agreements and fee earning)
  • Manage the staff day to day in terms of incoming work, vetting, caseloads, holidays, sickness, absence
  • Implement an effective training and development framework/academy for the employment department and other personnel who have personal development plans that include employment training (trainee solicitors and other staff who wish to progress within the company). Training to include technical and soft skills
  • Provide training and communication as required to external audiences (i.e. Unions, regions, work places)
  • Achieve team targets, audit and quality requirements, SLA and KPIs
  • Assist in the development and continual improvement of the case management system – developing case flow / workflow processes with the wider management team
  • Assist with caseloads/ as required
  • Ensure each function of the employment department continues to provide an excellent service to the Unions and the regions and to build on the excellent relationships we have developed
  • Ensure the employment team deals with matters appropriately including communication with clients over the telephone, by email and in face-to-face meetings and with other solicitors and professional organisations over the telephone, by email and correspondence
  • Meet all key SLAs and KPIs within the department
  • Assist the company in building a credible and robust employment department

Person Specification

Essential Criteria

  • Previous experience of managing a large team, workloads and to prioritise accordingly
  • Ability to work under pressure and time management
  • Work under own initiative and as part of a management team
  • Ability to coach, mentor and train as required as well as carry put performance management
  • Self motivated with excellent organisational skills
  • Modern approach to management and its process driven, proactive, risk based requirements
  • Experience of managing a team and driving client care and quality
  • Excellent technical and practical knowledge and understanding of employment law and practice with the ability to work unsupervised
  • Good comprehension skills to understand large volumes of documents
  • Able to write clearly, correctly and concisely
  • Excellent telephone manner and verbal communication skills
  • Able to collect and analyse evidence, research the law and determine prospects, provide appropriate advice, and progress matters efficiently
  • Ability to work at a strategic level so as to design and deliver new and improved working practises

Desirable Criteria

  • Qualified Solicitor
  • Working in a legal, insurance or HR environment
  • Proficient with Microsoft Word, Excel and Outlook with the ability to work without administrative assistance
